AI Integration for Accounting & Law Firms · Kelowna, BC · Serving Canada

We help accounting and law firms put AI to work, without risking client data.

Intake, documents, client communication, back-office. We design it around how your firm actually runs, build it at fixed prices, and operate it with the guardrails your licence demands.

It starts with a paid AI Discovery Session: three hours with you and your key staff, and you leave with a written plan. No free audits, no spec proposals, no sales theatre.

The Short Version

Your firm is drowning in exactly the work AI is now good at: intake, first drafts, status updates, billing narratives. The firms winning with it are not the ones with the fanciest tools; they are the ones who adopted it with rules. We bring the rules and the builds. Entry point is a $2,500 working session, and you leave with a written plan either way.

The firms that win with AI are not who you think

It is not the biggest firms or the most technical ones. It is flat-fee and value-priced firms, where every saved hour is margin, and capacity-squeezed firms that cannot hire another paralegal or senior bookkeeper at today's salaries. For them, AI is not a toy. It is taking on more clients without adding payroll.

Meanwhile the anxiety is real and reasonable: clients are already asking why routine work bills the way it does, and every professional publication is running the same story about AI and the billable hour. Most firm owners know they need to move. What stops them is not the technology. It is the fear of doing it wrong: client data in the wrong tool, an unreviewed answer reaching a client, a regulator asking questions nobody prepared for.

The honest math

Take one $300-an-hour professional who spends five hours a week on drafting, intake notes, and status emails that AI can produce for review. That is roughly $75,000 a year in capacity, in one chair. Most firms have several chairs like that.

The fear of doing it wrong is the right instinct. The answer is not avoiding AI. It is adopting it with guardrails, which is precisely the work we do.

What we look at in your firm

Six places AI earns its keep in a professional firm. The Discovery Session walks all six against your real workflows; your priority list ranks the ones worth building, each with a fixed price.

01

Client intake & triage

Every inquiry answered and qualified, day or night. New matters get fit-checked, potential conflicts get flagged for your review, and qualified clients land on the right calendar. Nobody plays phone tag with a prospect who has already called the next firm.

02

Document workflows

First drafts of engagement letters, standard contracts, and client memos in minutes instead of hours. Incoming documents summarized before anyone reads page one. A person reviews everything before it goes anywhere.

03

Client communication

Status updates, deadline reminders, and the eternal "where is my file?" answered automatically, so your paralegal or bookkeeper stops being a human answering machine.

04

Research & preparation

Research summaries, tax-position briefs, and meeting prep pulled from the client file before you walk into the room. You review the output; you skip the gathering.

05

Back-office operations

Time entry hygiene, billing narratives, data entry into your practice management system, and report generation. The unglamorous work that eats admin hours every single week.

06

Team training

SOPs and cheat sheets your team actually uses, plus hands-on training for your key people. Priced separately from the builds, so you only buy it when something is worth training on.

Every build is quoted as a fixed price in your session. No open-ended hourly billing.

The Firm AI Guardrail Standard

Six operating rules that make AI safe for a professional firm. The same standard we implement for clients, written in plain language:

  • +Client data never goes into consumer AI tools, and what to use instead
  • +A person reviews everything before it reaches a client
  • +PIPEDA, data residency, and knowing where your data lives
  • +The five-question checklist for approving any AI tool

We email you a private link to the Standard. No drip campaign, no spam.

How it works: three steps, all of them paid, none of them vague

We do not do free audits or write proposals on spec. You pay for real work, you get real work, and you can stop at any step.

Step 1

The AI Discovery Session · $2,500

A three hour working session, on video or on-site in BC: Sep, you, and up to four key staff. We walk your actual workflows through all six areas above and put real numbers on what AI can take off your team's plate.

You leave with a written one-page priority list: which opportunities are worth building, in what order, each with a fixed-price quote. Yours to keep, no obligation to proceed. NDA signed before the session; engagement letter before any payment.

Step 2

Fixed-price builds

Pick the modules you want from your list. Each is built at the quoted price, launched with a person reviewing everything client-facing, and a licensed professional from your firm signs off on any automation that touches clients before it goes live.

Step 3

We operate it: Firm AI Operations

AI systems are not install-and-forget. Models change, policies change, and the guardrails need a keeper. On a flat monthly retainer we maintain the standard, review the workflows, tune the systems, and report on what they are saving you, while your team stays on billable work.

Who you are dealing with

You work with Sep. Not a junior, not a chatbot.

Sep Gaspari has spent 15+ years building marketing and AI systems for service businesses, and he builds them personally: front desks that answer every call, systems that draft, book, follow up, and report. The same machine, pointed at your intake and your documents. See the portfolio for the work.

Before anything starts: we sign your NDA before the session, you get an engagement letter before any payment, and a licensed professional from your firm reviews every client-facing automation before it goes live.

Thinking about selling your firm someday? A firm with documented, AI-assisted systems is less owner-dependent, and less owner-dependent businesses command higher multiples. See exit-ready marketing for how we think about transferable value.

Straight answers

What exactly do I get for $2,500?

A three hour working session with Sep, you, and up to four of your key staff, on video or on-site in BC. We walk through how your firm actually runs: intake, documents, client communication, research, and back-office. You leave with a written one-page priority list showing which AI opportunities are worth building, in what order, each with a fixed price. The list is yours to keep whether or not you build anything with us. We sign your confidentiality agreement before the session, and you get an engagement letter before any payment.

What if we stop after the session?

Then you stop. You paid for the session, you got the priority list, and there is no obligation to go further. Plenty of firms will take the list and act on parts of it internally. That is a fine outcome. The firms that want the builds done right, with the guardrails handled, hire us for the modules on the list.

Is our client data safe? What about privilege?

This is the center of how we work, not a footnote. No client data ever goes into consumer AI tools. We only use business-grade tools with signed data-processing agreements, no training on your data, and documented storage locations. A person reviews anything before it reaches a client, and intake systems flag potential conflicts for your review rather than deciding anything themselves. Before go-live, a licensed professional from your firm reviews every client-facing automation. Our Guardrail Standard on this page spells out the full set of rules.

Why is a marketing company doing AI integration?

Fair question. Zio built its name installing AI systems for service businesses: front desks that answer every call, systems that draft, book, follow up, and report. The machine underneath is the same one firms need, pointed at intake and documents instead of bookings. We will show you working systems on the call, and we will be straight with you: we have deep proof in service businesses and we bring that same build discipline to firms.

What do the builds cost?

Every module on your priority list comes with a fixed price, quoted in the session for your firm specifically. No open-ended hourly meter, no surprise invoices. If we quote your intake build at a number, that is the number. Ongoing operation, where we maintain the guardrails and keep the systems tuned, is a flat monthly retainer we scope on the call.

Do you have accounting or law firm experience?

We will not pretend to be a 20-year legal technology vendor. What we have is a working AI install playbook proven in service businesses, a compliance-first guardrail standard built for firms, and a paid session designed so you can judge the thinking before you commit to a single build. The session is the proof: three hours in, you will know whether we understand your firm or not.

Three hours in, you will know exactly where AI fits your firm

Reach out, tell us about your firm, and Sep will reply personally with the engagement letter and next steps. If it is not a fit, we will say so.
